Responsibilities

  • Provide administrative support to the COS3 Program Manager and DPM and Director of Operations, requiring considerable judgment and discretion, to include handling of information of a highly important and confidential nature.
  • Collects and analyzes data identifying trends and acts as an advisor on operational matters within the Program
  • Prepare administrative reports for COS3 in support of various military organizations and higher headquarters.
  • Assists the Program Manager and Director of Operations in preparation of plans, budgets, proposals and briefings
  • Responsible for assisting Project Manager and Deputy Project Manager and Director of Operations along with Shift Supervisors and other COS3 employees Expense Reimbursement, Fuel Logs Report and TDY Expenses and ensures COS3 Training and Time Keeping are accurate.
  • Act as an extension of and liaison for Program Management Support offices for COS3 PMO, such as HR, Finance, Security Administrator providing administrative and operational support to COS3 employees.
  • Proactively manage appointment scheduling and coordination using Microsoft Outlook.
  • Possess excellent English oral and written communication skills sufficient to clearly convey messages to co-workers, customers, and all levels of management.
  • Must be able to work in a high-stress and demonstrate the flexibility required to handle a very dynamic work environment.
  • Must exhibit strong time management and organizational skills and possess the ability to multi-task while maintaining attention to detail.
  • Assemble and analyze information, prepare reports, and agendas.
  • Maintain files, keep records, compile reports and process documents in a timely manner.
  • Develop and edit PowerPoint slides, and similar presentation materials.
  • Screen and direct incoming calls, set up conference calls, handle walk-in requests, organize and maintain electronic files.
  • Responsible for accuracy of Installation access badge application before sending them to Director of Operations for approval.
  • Act as an extension of and liaison for Program Management Support offices for HR, Finance, Security Administrator providing administrative and operational support to the COS3 employees.
  • (Weekly reports, timesheets, etc.) utilizing various Microsoft Office tools as directed by Project Manager or designated representative.
  • Prepare metrics as directed by Project Manager in support of Statement of Work.
  • Keep track of personnel assigned to the country location as well as those temporarily assigned.
  • Will also be POC for all individuals within the country who are on administrative hold for whatever reason until they return to normal duty status and/or released from work.
  • Manage executive communication and disseminate information to the COS3 Team if required.
  • Interfaces with State Department customers requiring coordination or resources.
  • Possess professional interpersonal skills and the ability to work well with others, as well as the ability to work independently with changing priorities.
  • Assist with in-processing/out-processing. Will ensure where possible any necessary paperwork for items such as badges are completed prior to arrival of personnel.
  • Will support the logistic supply chain function of Vectrus HQ as well as regional logistics operations support.
  • Proactively offer suggestions for process improvements.
  • Shall work special projects as assigned.
  • Performs other duties as assigned.
